#### Q. We are currently finalizing our paper for submission to the symposium whose submission deadline is the end of this week. While the experiments are mostly completed, we need a bit more time to finish analyzing the data. Would it be possible to extend the submission deadline by one week?
62 19 Hiroyuki Ohsaki
63 20 Hiroyuki Ohsaki
A. No. For maintaining fairness among all authors, we are unable to grant
64
deadline extensions on an individual basis for each author.
65 19 Hiroyuki Ohsaki
66 18 Hiroyuki Ohsaki
#### Q. The submission deadline for the symposium has been announced as January 31. Could you please clarify the exact deadline? Specifically, what time and time zone does the deadline correspond to?
67 20 Hiroyuki Ohsaki
68 21 Hiroyuki Ohsaki
A. The deadline is 23:59 AoE (Anywhere on Earth), which means it is the point
69
at which January 31 no longer exists in any time zone around the world.
70 18 Hiroyuki Ohsaki
71 19 Hiroyuki Ohsaki
## For accepted authors
72
73 20 Hiroyuki Ohsaki
#### Q. I noticed in the submission guidelines that authors are allowed to add up to two extra pages to the paper. Could you please confirm whether this option is available to all submitted papers (i.e., max 12 pages) or only to those that have been accepted?
74 19 Hiroyuki Ohsaki
75 21 Hiroyuki Ohsaki
A. Available to all submitted papers to symposia and workshops. For instance,
76
you can submit 12-page paper to the symposia. Please note that if your paper
77
is accepted as a short paper, the page limit is 6.
78 15 Hiroyuki Ohsaki

79 20 Hiroyuki Ohsaki
> Page limits are inclusive of tables, figures, appendices, and references. Full
80
> conference papers and workshop papers can add an additional 2 pages with
81
> additional page charges ($125 USD/page).
82 19 Hiroyuki Ohsaki
83 20 Hiroyuki Ohsaki
#### Q. My paper has been accepted for presentation at COMPSAC. I need an invitation letter to apply for a visa to travel to the conference venue. How can I requst to issue an invitation letter to me?
84 19 Hiroyuki Ohsaki
85 20 Hiroyuki Ohsaki
A. You can request an invitation letter for visa application purposes at the
86
time of author registration.
87 19 Hiroyuki Ohsaki
88 20 Hiroyuki Ohsaki
#### Q. I was scheduled to give an on-site presentation at COMPSAC next week. I have already completed the full registration. However, I was unable to obtain a visa to travel to the host country. Would it be possible to give my presentation virtually?
89 19 Hiroyuki Ohsaki
90 21 Hiroyuki Ohsaki
A. Whether COMPSAC allows virtual presentations is decided on a yearly basis.
91
COMPSAC 2025 is an in-person-only conference, so the option for virtual
92
presentations is not available.
93 19 Hiroyuki Ohsaki

94 20 Hiroyuki Ohsaki
In cases where in-person attendance is not possible due to unavoidable
95
circumstances, individual consultations may be considered.
96 19 Hiroyuki Ohsaki
97 20 Hiroyuki Ohsaki
#### Q. My paper has been accepted to COMPSAC. I am planning to prepare the camera-ready version, but I would like to confirm whether it is mandatory to incorporate all of the recommended changes mentioned in reviews. The recommended changes include a suggestion for a large-scale additional experiment, which would be difficult to carry out before the camera-ready submission deadline.
98 1 Hiroyuki Ohsaki
99 21 Hiroyuki Ohsaki
A. It is recommended that the changes suggested by the reviewers, to the
100
extent that they can be readily addressed, be incorporated into the
101
camera-ready version. For those revisions that are difficult to implement
102
within the short timeframe before the camera-ready submission deadline, we
103
hope you will consider them for future research.
104 20 Hiroyuki Ohsaki
105 19 Hiroyuki Ohsaki
#### Q. One of the papers I co-authored has been accepted for a symposium, and another for a workshop. I will be presenting both papers. In this case, is it sufficient for me to complete just one full registration?
106 20 Hiroyuki Ohsaki
107
A. No. According to IEEE policy, one full registration is required for each
108
paper that is to be included in the proceedings. A different rule applies if
109 21 Hiroyuki Ohsaki
an author registers more than three papers or SRS (Student Research Symposium)
110
papers (see the answers to the questions below).
111 20 Hiroyuki Ohsaki
112 19 Hiroyuki Ohsaki
#### Q. Out of the four papers I co-authored, two have been accepted for the symposium and the other two for the workshop. Does this mean four full registrations are required?
113 20 Hiroyuki Ohsaki
114
A. It depends. In COMPSAC 2025, it is possible to include up to five papers
115 1 Hiroyuki Ohsaki
in the proceedings with the payment of two full registration fees. However,
116 21 Hiroyuki Ohsaki
COMPSAC 2025 requires all accepted papers to be presented in person.
117 19 Hiroyuki Ohsaki
118 20 Hiroyuki Ohsaki
Therefore, in the case described above, if one author plans to present all
119
four papers, that author may do so by paying the equivalent of two full
120
registration fees.
121
122 21 Hiroyuki Ohsaki
Alternatively, if one author presents two papers and two other co-authors each
123
present one of the remaining papers, a total of four full registrations may be
124
required, but this can be distributed among three individuals as follows: one
125
author registers for two papers (two full registrations), and two other
126
authors register for one paper each (one full registration each).
127 20 Hiroyuki Ohsaki
128
If one of two co-authors plans to attend only on the day of his/her
129
presentation, he/she may opt for a one-day registration. Also, if the
130
presenter is a student, a student registration may also be an option.
131
132 23 Hiroyuki Ohsaki
#### Q. My paper has been accepted, but due to some reasons, I would like to withdraw it. However, I am unable to withdraw my submission through EasyChair. What steps should I take?
133
134
A. Please inform the corresponding chairs of which your paper was accepted
135
(symposium, workshop, FA (Fast Abstract), or SRS (Student Research Symposium))
136 24 Hiroyuki Ohsaki
with the following information: symposium/workshop name, paper ID, authors,
137
title, and the reason for withdrawal.
138 23 Hiroyuki Ohsaki
139
If you do not know the contact information for the chairs, you can send the
140 25 Hiroyuki Ohsaki
above information to the "Contact address" shown above.
141 23 Hiroyuki Ohsaki
142 1 Hiroyuki Ohsaki
### For presenters
143
144 26 Hiroyuki Ohsaki
#### Q. My paper has been accepted for the symposium. How many minutes is the presentation time?
145
146
A. It should be 15-18 minutes for full papers and 10-12 minutes for short
147
ones.
148
149 28 Hiroyuki Ohsaki
#### Q. What equipment for presentation is available at the room? Is a PC for presentations provided?
150 27 Hiroyuki Ohsaki
151
A. Every room is equipped with a projector (which can be connected via HDMI)
152
and a microphone. No PC for presentations is provided, so presenters should
153
connect their own devices.
154
155 28 Hiroyuki Ohsaki
#### Q. Do I need to submit my presentation slides to COMPSAC in advance?
156 27 Hiroyuki Ohsaki
157
A. No.
158
159 28 Hiroyuki Ohsaki
#### Q. In some presentations, pre-recorded videos were played without the presenters being present. Was there an option to play videos without attending in person?
160 27 Hiroyuki Ohsaki
161
A. No. COMPSAC 2025 is an in-person-only conference, so the option for
162
virtual presentations is not available.
163
164
Pre-recorded presentation videos are only played for presenters who are unable
165
to attend in person due to reasons such as visa issues.
166
167 19 Hiroyuki Ohsaki
### For reviewers
168
169 20 Hiroyuki Ohsaki
#### Q. I served as a Program Committee (PC) member (reviewer) for the symposium and reviewed several papers. Could you issue a certificate to confirm my participation as a reviewer?
170 1 Hiroyuki Ohsaki
171 21 Hiroyuki Ohsaki
A. We do not issue a certificate for reviewing. We list the Program Committee
172
members for each symposium on the respective symposium pages of the COMPSAC
173
website. Please use a copy of the COMPSAC web page as a proof.
174 1 Hiroyuki Ohsaki
175
