#### Q. Is it possible to submit a paper to COMPSAC 2025 if the manuscript has already been made available on arXiv?
28 1 Hiroyuki Ohsaki
29 20 Hiroyuki Ohsaki
A. Yes, but with several conditions. Please read the IEEE guideline [Post Your
30
Paper](https://conferences.ieeeauthorcenter.ieee.org/get-published/post-your-paper/)
31
for details. The following is an excerpt.

#### Q. We are currently finalizing our paper for submission to the symposium whose submission deadline is the end of this week. While the experiments are mostly completed, we need a bit more time to finish analyzing the data. Would it be possible to extend the submission deadline by one week?
60 19 Hiroyuki Ohsaki
61 20 Hiroyuki Ohsaki
A. No. For maintaining fairness among all authors, we are unable to grant
62
deadline extensions on an individual basis for each author.
63 19 Hiroyuki Ohsaki
64 20 Hiroyuki Ohsaki
#### Q. The submission deadline for the symposium has been announced as January 31. Could you please clarify the exact deadline? Specifically, what time and time zone does the deadline correspond to?
65 18 Hiroyuki Ohsaki
66 20 Hiroyuki Ohsaki
A. The deadline is 23:59 AoE (Anywhere on Earth), which means it is the
67
point at which January 31 no longer exists in any time zone around the
68
world.

## For accepted authors
71
72 20 Hiroyuki Ohsaki
#### Q. I noticed in the submission guidelines that authors are allowed to add up to two extra pages to the paper. Could you please confirm whether this option is available to all submitted papers (i.e., max 12 pages) or only to those that have been accepted?
73 19 Hiroyuki Ohsaki
74 20 Hiroyuki Ohsaki
A. Available to all submitted papers to symposia and workshops. For
75
instance, you can submit 12-page paper to the symposia. Please note that if
76
your paper is accepted as a short paper, the page limit is 6.
77 15 Hiroyuki Ohsaki

78 20 Hiroyuki Ohsaki
> Page limits are inclusive of tables, figures, appendices, and references. Full
79
> conference papers and workshop papers can add an additional 2 pages with
80
> additional page charges ($125 USD/page).
81 19 Hiroyuki Ohsaki
82 20 Hiroyuki Ohsaki
#### Q. My paper has been accepted for presentation at COMPSAC. I need an invitation letter to apply for a visa to travel to the conference venue. How can I requst to issue an invitation letter to me?
83 19 Hiroyuki Ohsaki
84 20 Hiroyuki Ohsaki
A. You can request an invitation letter for visa application purposes at the
85
time of author registration.
86 19 Hiroyuki Ohsaki
87 20 Hiroyuki Ohsaki
#### Q. I was scheduled to give an on-site presentation at COMPSAC next week. I have already completed the full registration. However, I was unable to obtain a visa to travel to the host country. Would it be possible to give my presentation virtually?
88 19 Hiroyuki Ohsaki
89 20 Hiroyuki Ohsaki
A. Whether COMPSAC allows virtual presentations is decided on a yearly
90
basis. COMPSAC 2025 is an in-person-only conference, so the option for
91
virtual presentations is not available.
92 19 Hiroyuki Ohsaki

93 20 Hiroyuki Ohsaki
In cases where in-person attendance is not possible due to unavoidable
94
circumstances, individual consultations may be considered.
95 19 Hiroyuki Ohsaki
96 20 Hiroyuki Ohsaki
#### Q. My paper has been accepted to COMPSAC. I am planning to prepare the camera-ready version, but I would like to confirm whether it is mandatory to incorporate all of the recommended changes mentioned in reviews. The recommended changes include a suggestion for a large-scale additional experiment, which would be difficult to carry out before the camera-ready submission deadline.
97 1 Hiroyuki Ohsaki
98 20 Hiroyuki Ohsaki
A. It is recommended that the changes suggested by the reviewers, to the extent
99
that they can be readily addressed, be incorporated into the camera-ready
100
version. For those revisions that are difficult to implement within the
101
short timeframe before the camera-ready submission deadline, we hope you
102
will consider them for future research.
103 19 Hiroyuki Ohsaki
104 20 Hiroyuki Ohsaki
#### Q. One of the papers I co-authored has been accepted for a symposium, and another for a workshop. I will be presenting both papers. In this case, is it sufficient for me to complete just one full registration?
105 19 Hiroyuki Ohsaki
106 20 Hiroyuki Ohsaki
A. No. According to IEEE policy, one full registration is required for each
107
paper that is to be included in the proceedings. A different rule applies if
108
an author registers more than three papers or SRS (Student Research
109
Symposium) papers (see the answers to the questions below).
110 1 Hiroyuki Ohsaki
111 20 Hiroyuki Ohsaki
#### Q. Out of the four papers I co-authored, two have been accepted for the symposium and the other two for the workshop. Does this mean four full registrations are required?
112 19 Hiroyuki Ohsaki
113 20 Hiroyuki Ohsaki
A. It depends. In COMPSAC 2025, it is possible to include up to five papers
114
in the proceedings with the payment of two full registration fees. However,
115
COMPSAC 2025 requires all accepted papers to be presented in
116
person.
117 19 Hiroyuki Ohsaki
118 20 Hiroyuki Ohsaki
Therefore, in the case described above, if one author plans to present all
119
four papers, that author may do so by paying the equivalent of two full
120
registration fees.
121
122
Alternatively, if one author presents two papers and two other co-authors
123
each present one of the remaining papers, a total of four full registrations
124
may be required, but this can be distributed among three individuals as
125
follows: one author registers for two papers (two full registrations), and
126
two other authors register for one paper each (one full registration each).
127
128
If one of two co-authors plans to attend only on the day of his/her
129
presentation, he/she may opt for a one-day registration. Also, if the
130
presenter is a student, a student registration may also be an option.

#### Q. I served as a Program Committee (PC) member (reviewer) for the symposium and reviewed several papers. Could you issue a certificate to confirm my participation as a reviewer?
138 1 Hiroyuki Ohsaki
139 20 Hiroyuki Ohsaki
A. We do not issue a certificate for reviewing. We list the Program
140
Committee members for each symposium on the respective symposium pages of
141
the COMPSAC website. Please use a copy of the COMPSAC web page as a proof.
