Q. Is it possible to submit a paper to COMPSAC 2025 if the manuscript has
28
already been made available on arXiv?
29 1 Hiroyuki Ohsaki
30 19 Hiroyuki Ohsaki
    A. Yes, but with several conditions. Please read the IEEE guideline [Post Your
31
    Paper](https://conferences.ieeeauthorcenter.ieee.org/get-published/post-your-paper/)
32
for details. The following is an excerpt.
33

34
    > Preprint
35
    >
36
    > Authors who have submitted or plan to submit their papers to IEEE may post
37
    > their preprints in the following locations:
38
    >
39
    > - arXiv.org, TechRxiv.org, or any not-for-profit preprint server approved by
40
    > the Publication Services and Products Board (PSPB)
41
    > - Author’s employer’s website or institutional repository
42
    > - Author’s personal website
43
    >
44
    > IEEE does not consider this to be a form of prior publication. The following
45
    > statement must be included on the initial screen:
46
    >
47
    > “This work has been submitted to the IEEE for possible publication. Copyright
48
    > may be transferred without notice, after which this version may no longer be
49
    > accessible.”
50
    >
51
    > Upon acceptance of the paper by IEEE, the author must replace the posted
52
    > preprint paper with either (1) the full citation to the IEEE work with the
53
    > DOI, or (2) the accepted version of the paper with the DOI and an appropriate
54
    > copyright notice (as described in the “Accepted paper” section below). No
55
    > other changes may be made to the accepted paper.
56
    >
57
    > Please note that once the paper has been published by IEEE, preprints on
58
    > locations not specified above should be removed if possible.

Q. We are currently finalizing our paper for submission to the symposium whose
61
submission deadline is the end of this week. While the experiments are mostly
62
completed, we need a bit more time to finish analyzing the data. Would it be
63
possible to extend the submission deadline by one week?
64 1 Hiroyuki Ohsaki
65 19 Hiroyuki Ohsaki
    A. No. For maintaining fairness among all authors, we are unable to grant
66
deadline extensions on an individual basis for each author.
67 1 Hiroyuki Ohsaki
68 19 Hiroyuki Ohsaki
Q. The submission deadline for the symposium has been announced as January 31.
69
Could you please clarify the exact deadline? Specifically, what time and time
70
zone does the deadline correspond to?
71 18 Hiroyuki Ohsaki
72 19 Hiroyuki Ohsaki
    A. The deadline is 23:59 AoE (Anywhere on Earth), which means it is the
73
point at which January 31 no longer exists in any time zone around the
74
    world.
75 18 Hiroyuki Ohsaki
76
## For accepted authors
77
78 19 Hiroyuki Ohsaki
Q. I noticed in the submission guidelines that authors are allowed to add up
79
to two extra pages to the paper. Could you please confirm whether this option
80
is available to all submitted papers (i.e., max 12 pages) or only to those
81
that have been accepted?
82 18 Hiroyuki Ohsaki
83 19 Hiroyuki Ohsaki
    A. Available to all submitted papers to symposia and workshops. For
84
instance, you can submit 12-page paper to the symposia. Please note that if
85
your paper is accepted as a short paper, the page limit is 6.
86

87
    > Page limits are inclusive of tables, figures, appendices, and references. Full
88
    > conference papers and workshop papers can add an additional 2 pages with
89
    > additional page charges ($125 USD/page).
90 18 Hiroyuki Ohsaki
91 19 Hiroyuki Ohsaki
Q. My paper has been accepted for presentation at COMPSAC. I need an
92
invitation letter to apply for a visa to travel to the conference venue. How
93
can I requst to issue an invitation letter to me?
94 18 Hiroyuki Ohsaki
95 19 Hiroyuki Ohsaki
    A. You can request an invitation letter for visa application purposes at the
96
    time of author registration.
97 18 Hiroyuki Ohsaki
98 19 Hiroyuki Ohsaki
Q. I was scheduled to give an on-site presentation at COMPSAC next week. I
99
have already completed the full registration. However, I was unable to
100
obtain a visa to travel to the host country. Would it be possible to give
101
my presentation virtually?
102 15 Hiroyuki Ohsaki
103 19 Hiroyuki Ohsaki
    A. Whether COMPSAC allows virtual presentations is decided on a yearly
104
basis. COMPSAC 2025 is an in-person-only conference, so the option for
105
    virtual presentations is not available.
106

107
In cases where in-person attendance is not possible due to unavoidable
108
circumstances, individual consultations may be considered.
109 18 Hiroyuki Ohsaki
110 19 Hiroyuki Ohsaki
Q. My paper has been accepted to COMPSAC. I am planning to prepare the
111
camera-ready version, but I would like to confirm whether it is mandatory to
112
incorporate all of the recommended changes mentioned in reviews. The
113
recommended changes include a suggestion for a large-scale additional
114
experiment, which would be difficult to carry out before the camera-ready
115
submission deadline.
116 18 Hiroyuki Ohsaki
117 19 Hiroyuki Ohsaki
    A. It is recommended that the changes suggested by the reviewers, to the extent
118
that they can be readily addressed, be incorporated into the camera-ready
119
version. For those revisions that are difficult to implement within the
120
short timeframe before the camera-ready submission deadline, we hope you
121
will consider them for future research.

123 19 Hiroyuki Ohsaki
Q. One of the papers I co-authored has been accepted for a symposium, and
124
another for a workshop. I will be presenting both papers. In this case, is
125
it sufficient for me to complete just one full registration?
126 1 Hiroyuki Ohsaki
127 19 Hiroyuki Ohsaki
    A. No. According to IEEE policy, one full registration is required for each
128
paper that is to be included in the proceedings. A different rule applies if
129
an author registers more than three papers or SRS (Student Research
130
Symposium) papers (see the answers to the questions below).
131 1 Hiroyuki Ohsaki
132 19 Hiroyuki Ohsaki
Q. Out of the four papers I co-authored, two have been accepted for the
133
symposium and the other two for the workshop. Does this mean four full
134
registrations are required?
135 1 Hiroyuki Ohsaki
136 19 Hiroyuki Ohsaki
    A. It depends. In COMPSAC 2025, it is possible to include up to five papers
137
in the proceedings with the payment of two full registration fees. However,
138
COMPSAC 2025 requires all accepted papers to be presented in
139
    person.
140

141
Therefore, in the case described above, if one author plans to present all
142
four papers, that author may do so by paying the equivalent of two full
143
    registration fees.
144

145
Alternatively, if one author presents two papers and two other co-authors
146
each present one of the remaining papers, a total of four full registrations
147
may be required, but this can be distributed among three individuals as
148
follows: one author registers for two papers (two full registrations), and
149
two other authors register for one paper each (one full registration each).
150

151
If one of two co-authors plans to attend only on the day of his/her
152
presentation, he/she may opt for a one-day registration. Also, if the
153
presenter is a student, a student registration may also be an option.

### For reviewers
159
160 19 Hiroyuki Ohsaki
Q. I served as a Program Committee (PC) member (reviewer) for the symposium
161
and reviewed several papers. Could you issue a certificate to confirm my
162
participation as a reviewer?
163 1 Hiroyuki Ohsaki
164 19 Hiroyuki Ohsaki
    A. We do not issue a certificate for reviewing. We list the Program
165
Committee members for each symposium on the respective symposium pages of
166
the COMPSAC website. Please use a copy of the COMPSAC web page as a proof.
